Adding Projects to a Client

Glass Factory can support mulitple projects within one Client; often called a Program. The benefit of having mulitple projects with one client is the ease with which you can now see consolodated Client level reporting so you can get a full picture of performance. Glass Factory supports New Business, and Non Billiable projects as a part of programs enabling you to not only accurately forecast revenue and budget burn - but it will also give you better insights into your internal and new business investments. When looking at a program you can make informed decisions about how much you are willing to invest based on the returns you have seen with your client in the past.

Projects vs. Plans

Projects in Glass Factory are active plan - the plan which people are tracking time against, and the plan which is currently marked as Active in the project screen. A Project is live, a Plan is a scratch pad area. You can have many draft plans which may represent other apporaches or scenerios as you're devising your project apporach. A Plan can not be a project unless it is set to active; and a project can not have more than one active plan. Plans that are not active will not show in reporting or impact timesheets.

Create Project

After creating your client you will come to a project screen where you will see a large button to Create New Project.

  1. Click the button to start the project set up wizard.

    1. Create a project title: All projects need titles
    2. Set Probability: If the project is not live choose to keep it in draft (estimating only, no reporting or timesheets) or set a probability. Most agencies select 25% when presenting capabilities, 50% when asked for a formal proposal, 75% when negotitating an SOW or contract and LIVE when the contract or SOW is signed.
    3. Set Billing Type: Choose if the project will be billable, non billable, or tagged as new business to track investiments. Selecting the correct project type informs how the data will be used in reporting. For example: Non Billable projects will not be factored into revenue but the costs will impact total margin.
    4. Job Numbers: Some agencies require job numbers for financial tracking - if your agency requires this please submit the job number here. Glass Factory can use this number to synch with other Timesheet programs and finaicial and account packages as needed.
    5. Office: If you're company has multiple office locations please select the office this project will be attributed to. This allows for reporting to show accurate information at both the company level and the office level.
    6. Client: If you're project is part of client program select the client you want this project associated to. When you view the reports for this client you will be able to see this project as part of the rollup.
  2. After Clicking Create you will be taken to the Pricing screen to set up your project pricing.
